Printable PDF Printing Guide: A4 vs US Letter and Actual Size

THE MOTIFELLE JOURNAL · PRACTICAL IDEAS FOR CREATIVE PEOPLE

A printable looks perfect on your screen, but the first page comes out with a cut-off border or lettering that is slightly too small. The design is not necessarily defective. The printer may have changed the scale, or the document and paper may use different sizes.

Quick answer: which setting should I use?

If the printable must stay at an exact physical size, print at Actual size (100%) on matching paper whenever possible. If your main goal is to fit the entire page without clipping, Fit may be more useful, but it can shrink or enlarge the design. Check the product’s specific instructions first.

A4 vs US Letter: the basic difference

Page size Dimensions Common usage
A4 210 × 297 mm (about 8.27 × 11.69 in) Many countries in Europe, Asia and elsewhere
US Letter 8.5 × 11 in (215.9 × 279.4 mm) Common in the United States and Canada

A4 is slightly narrower and taller. US Letter is wider and shorter. Using an A4 PDF on Letter paper without planning for the difference can crop long decorations at the bottom or force the whole image to scale.

What “Actual size” really does

In Adobe Acrobat, Actual size prints without scaling. This is useful for a 5 × 7 inch artwork, sewing template, measurement grid or precisely sized invitation. But if a PDF is larger than the printer’s printable area, parts outside the printable region can still be cropped.

What “Fit” does—and why it changes dimensions

The Fit option resizes a page to fit inside the paper’s printable area. This can save a border from being cut off, but it may make the result a few percent smaller than intended. For an ordinary study guide that may not matter. For a ruler, envelope template or insert meant to fit a specific frame, it can matter a lot.

A careful first-print workflow

  1. Open the PDF in a reader that shows its actual paper dimensions.
  2. Confirm the product description specifies A4, Letter, another size or multiple versions.
  3. Load the matching paper where possible.
  4. Choose orientation and the correct printer paper size.
  5. For exact-scale items, select Actual size / 100% and inspect the print preview.
  6. For general documents where full-page fit matters more, try Fit and inspect any scaling.
  7. Print one test sheet before using premium paper or sending a full batch to print.

How to prevent cropped invitation borders

Most household printers cannot print truly edge-to-edge. If the design includes a full-bleed background, you may need a borderless-printing-capable printer, a larger paper size with trim marks or a professional print service. Setting “Actual size” alone cannot make a non-borderless printer print beyond its physical margins.

Color, paper and cut lines

Computer screens emit light; printed paper reflects it. Colors may look darker, warmer or less vivid than expected. Paper choice changes the result too: matte card stock suits many invitations and art prints, while ordinary copier paper is more economical for checklists. If your printable has crop marks, follow its trimming guide and keep text inside the safe area.

When should you use a PDF rather than a Canva template?

Choose a ready-to-print PDF when the text, layout and dimensions are already final. Choose an editable template when you need to change names, dates, colors or other details. Sometimes a product includes both a Canva link for editing and a final print PDF. Our digital-download formats guide explains their differences.

Frequently asked questions

Can I print an A4 PDF on Letter paper?

Usually yes, but choose between fitting the whole page and preserving the original scale. A design with exact measurements may need a separately sized version.

Does 100% scale guarantee nothing will be cropped?

No. It preserves dimensions; it does not remove printer margins. Use preview, borderless printing when supported, or a larger sheet with trimming.

Do I need a professional printer for digital invitations?

Not necessarily. It depends on your paper, finish and desired results. Test one copy and compare costs before printing a batch.
